COWORK + CREATE – MEETING ROOM HIRE TERMS & CONDITIONS

By booking, making payment for, or using a meeting room at Cowork + Create (ABN 55 377 609 436), located at Level 1, 283 Old Geelong Road, Hoppers Crossing VIC 3029, the Hirer agrees to the following Terms and Conditions.

  1. BOOKING CONFIRMATION

Meeting room bookings are confirmed upon receipt of payment or confirmation by Cowork + Create.

Bookings are valid only for the date, time and duration specified in the booking confirmation.

Access instructions, entry information and any digital access links will be provided prior to the booking where applicable.

  1. BOOKING INCLUSIONS

Meeting room hire includes:

• Exclusive use of the booked meeting room during the booking period.

• Guest Wi-Fi access.

• 4K display with HDMI connectivity.

• Whiteboard and markers.

• Access to kitchenette facilities.

• Tea, coffee, water and standard amenities.

• Up to fifteen (15) minutes before and after the booking to utilise the breakout and waiting areas for meeting preparation, guest arrival, guest departure and post-meeting discussions.

The fifteen (15) minute periods before and after the booking are not included as additional meeting room hire time and do not permit access to the meeting room outside of the booked period.

Where another booking is scheduled immediately before or after, the Hirer must not enter the meeting room before their booked commencement time and must ensure the room is vacated by the scheduled finish time.

Additional services, equipment, catering or extended access may incur additional charges.

  1. MEETING ROOM ACCESS TIMES

The meeting room is hired for the specific period shown in the booking confirmation.

The Hirer is responsible for ensuring all attendees arrive and depart within the booked timeframe.

Bookings do not automatically include access to the meeting room before the scheduled commencement time or after the scheduled finish time.

Where additional time is required, the Hirer should contact Cowork + Create prior to the booking. Additional time is subject to availability and may incur additional charges.

Unauthorised use of the meeting room outside the booked period may be charged at the applicable hourly meeting room hire rate.

  1. PERMITTED USE

The meeting room may only be used for lawful business, educational, professional, networking, consulting or training-related activities.

The Hirer is responsible for ensuring all attendees comply with these Terms and Conditions.

Maximum room occupancy limits must not be exceeded.

Meeting room hire includes access to:

• The booked meeting room.

• Kitchenette facilities.

• Breakout and waiting areas directly associated with the booking.

Meeting room hire does not include access to:

• Coworking desks.

• Dedicated desks.

• Private offices.

• Storage areas.

• Member-only facilities.

• Any other areas not specifically included in the booking.

Visitors or attendees wishing to cowork or work independently from the premises before or after the meeting must purchase a Casual Coworking Day Pass.

  1. BOOKING INFORMATION & PRIVACY

The primary booking contact must provide accurate booking information including:

• Full legal name.

• Phone number.

• Email address.

• Business or organisation name (if applicable).

Guest sign-in may be required for safety, security and emergency management purposes.

Personal information is collected and managed in accordance with the Cowork + Create Privacy Policy.

  1. PROFESSIONAL CONDUCT

Cowork + Create is a shared professional environment.

All hirers, attendees, contractors and visitors agree to:

• Behave in a respectful, professional and lawful manner.

• Respect the privacy, property and business activities of other members and guests.

• Maintain reasonable noise levels.

• Follow reasonable directions provided by Cowork + Create management.

• Avoid conduct that may create disruption, intimidation, harassment, discrimination or safety concerns.

Cowork + Create reserves the right to terminate a booking immediately where behaviour is deemed unsafe, unlawful, disruptive or inappropriate.

  1. CARE OF FACILITIES

The meeting room and associated facilities must be left in a clean and tidy condition.

The Hirer agrees to:

• Return furniture to its original layout.

• Dispose of rubbish appropriately.

• Wash and return any kitchen items used.

• Remove all belongings and materials at the conclusion of the booking.

• Leave equipment switched off when departing.

Additional cleaning charges may apply where excessive cleaning is required.

Any damage to facilities, furniture, equipment, fixtures or fittings may be charged at repair or replacement cost.

  1. ACCESS, SECURITY & SAFETY

The Hirer is responsible for their own belongings, guests, contractors, attendees and use of the facilities.

The premises are monitored by security cameras for safety, security and incident investigation purposes.

Any accidents, incidents, damage, injuries, security concerns or maintenance issues must be reported to Cowork + Create as soon as reasonably practicable and no later than forty-eight (48) hours after the booking.

Where after-hours access is provided, the Hirer may be responsible for:

• Ensuring doors are secured upon departure.

• Switching off lights where appropriate.

• Leaving the premises in a safe and secure condition.

  1. FIRST-TIME VISITOR INDUCTION

To support the safety and security of members, visitors and guests, first-time meeting room users may be required to complete a brief site induction with Cowork + Create management prior to accessing the meeting room.

The induction may include:

• Emergency exits and evacuation procedures.

• Emergency assembly areas.

• First aid kit locations.

• Building access and security procedures.

• Kitchen and shared facility guidelines.

• Visitor access restrictions and member-only areas.

Where availability permits, the induction may be completed during the fifteen (15) minutes immediately prior to the booking commencement time.

Alternatively, Cowork + Create may arrange another suitable time prior to the booking.

Failure to complete a required induction may result in delayed access to the premises or cancellation of the booking.

  1. CANCELLATIONS & RESCHEDULING

Meeting room bookings are non-refundable.

Bookings may be rescheduled with a minimum of forty-eight (48) hours notice, subject to availability.

Rescheduled bookings must be used within three (3) months of the original booking date unless otherwise agreed in writing.

Failure to attend a booking without notice will be treated as a cancellation.

  1. ADDITIONAL CHARGES

Additional charges may apply for:

• Use beyond the booked period.

• Additional cleaning requirements.

• Damage to facilities or equipment.

• Unauthorised use of additional spaces or services.

• Failure to vacate the meeting room at the conclusion of the booking.

Additional time may be charged in hourly increments or part thereof.

  1. LIABILITY, INTERNET & INSURANCE

The Hirer and attendees use the premises, facilities, equipment, internet services and amenities entirely at their own risk.

Cowork + Create accepts no liability for:

• Loss, theft or damage to personal property.

• Loss of data.

• Business interruption.

• Equipment failure.

• Internet outages.

• Cyber-security incidents.

• Data loss or corruption.

• Third-party service interruptions.

• Injury arising from misuse of facilities or equipment.

The Hirer is responsible for maintaining any insurance they consider necessary for their business activities, equipment, contractors, guests and attendees.

  1. EVENTS BEYOND REASONABLE CONTROL

Cowork + Create is not liable for interruptions, cancellations or disruptions arising from circumstances beyond its reasonable control, including:

• Natural disasters.

• Fire or flood.

• Government restrictions.

• Internet outages.

• Utility failures.

• Building emergencies.

• Third-party service interruptions.

  1. REFUSAL OF SERVICE

Cowork + Create reserves the right to refuse, suspend or terminate a booking without refund where:

• These Terms and Conditions are breached.

• Payment obligations are not met.

• Unsafe, unlawful or disruptive behaviour occurs.

• The booking presents a risk to members, visitors, guests, property or the operation of the business.

  1. GENERAL CONDITIONS

The person making the booking must be present during the booking unless otherwise approved by Cowork + Create.

Bookings may not be transferred, assigned, resold or provided to another individual or organisation without prior written approval from Cowork + Create.

The Cowork + Create address may not be used for:

• Business registration.

• Mail handling.

• ASIC registration.

• Google Business Profile listings.

• Website contact details.

• Any other business address purpose.

  1. AGREEMENT

By making payment, confirming a booking or entering the premises, the Hirer confirms that they have read, understood and agree to these Terms and Conditions.
